Supervisor: Director of Physical Plant
Review Cycle: Annual
Purpose: Responsible for managing the daily office operations of the Physical Plant, ensuring
efficient and professional service to students, faculty, and staff.
Qualifications:
- Experience in office management and administrative procedures
- Proficiency in typing, filing, and record-keeping
- Working knowledge of Microsoft Word and Excel
- Ability to learn the university accounts payable system.
Work Schedule: Monday through Friday, 7:00 a.m. – 4:00 p.m.
Compensation and Benefits:As determined by the Administration and Board of Trustees.
Responsibilities and Duties:
- Maintain records and vendor documentation
- Monitor and process Williams Works timecard for student workers.
- Monitor and process ADP driver time
- Monitor HelpDesk and enter work requests as needed
- Answer phones and provide general administrative support
- Prepare requisitions for bill payments as needed
- Run occasional errands for supplies and parts
Vehicle and Travel Coordination
- Complete annual vehicle assessments
- Manage yearly vehicle tag renewals
- Enter travel requests in Google Calendar for trip reservations
- Schedule drivers for trips as needed
- Prepare vehicle trip usage reports
Physical Requirements:
- Ability to stand, sit, type, and walk for extended periods of time.
- Ability to sit for extended periods of time and to lift 35 lbs.
- Ability to use standard office equipment.
- Ability to use institutional technology equipment and standard office equipment.
