Physical Plant Administrative Assistant

Supervisor: Director of Physical Plant

Review Cycle: Annual

Purpose: Responsible for managing the daily office operations of the Physical Plant, ensuring
efficient and professional service to students, faculty, and staff.


Qualifications:

  • Experience in office management and administrative procedures
  • Proficiency in typing, filing, and record-keeping
  • Working knowledge of Microsoft Word and Excel
  • Ability to learn the university accounts payable system.


Work Schedule: Monday through Friday, 7:00 a.m. – 4:00 p.m.


Compensation and Benefits:As determined by the Administration and Board of Trustees.


Responsibilities and Duties:

  • Maintain records and vendor documentation
  • Monitor and process Williams Works timecard for student workers.
  • Monitor and process ADP driver time
  • Monitor HelpDesk and enter work requests as needed
  • Answer phones and provide general administrative support
  • Prepare requisitions for bill payments as needed
  • Run occasional errands for supplies and parts

Vehicle and Travel Coordination

  • Complete annual vehicle assessments
  • Manage yearly vehicle tag renewals
  • Enter travel requests in Google Calendar for trip reservations
  • Schedule drivers for trips as needed
  • Prepare vehicle trip usage reports

Physical Requirements:

  • Ability to stand, sit, type, and walk for extended periods of time.
  • Ability to sit for extended periods of time and to lift 35 lbs.
  • Ability to use standard office equipment.
  • Ability to use institutional technology equipment and standard office equipment.
